Benefits of Being a NUGSS-Approved Club
If you are thinking of becoming a club recognized under NUGSS, here are some services we offer to the clubs:
- Photocopying: You can photocopy to up to $20.00 per semester
- Audio-visual equipment
- Lockers: Clubs can have one free locker
- General liability insurance coverage

- Decide what kind of club you want it to be and pick a name.
- Pick up the "Clubs package" that you can get in the NUGSS office or download here
- Gather a membership list.
To become a club recognized under NUGSS, you need signatures from 20 people and 2/3 have to be UNBC students. - Create a Constitution. Take a look at our sample for guidelines.
Every club has to have a mandate or common purpose to be approved by NUGSS and the constitution should state it. - Submit all the documents to the NUGSS office to the VP Student Affairs mailbox
- Sign up for a club hearing time on a sheet that will be available in the office.
- Show up to the interview and know the mandate of your club.
- Wait for approval or refusal.

How to Get Funding
Getting Funding for Events and Activities
If you have an event coming up and you need funding for this event you can apply to NUGSS for funding only if you satisfy the following criteria:
- You have participated in the annual Shinerama fund raiser. Shinerama is the second Saturday of September.
After you have satisfied the above criteria then:
- Pick up the club funding application available at the NUGSS office or download here
- Make a budget for your event. Find out exactly how much everything will cost and write it down on this application. You need to be very specific with your costs. Know in advance how much it all cost. i.e. if it is a dinner event, then know exactly how much one plate of food will cost. Also write down how much you will contribute to this event and how much fund raising have you done for it.
- Drop off your application to NUGSS in Director of Finance mailbox
- Ask in the office when the next Monetary Affairs Commission meeting is held. Meetings are usually held every two weeks so you will want to apply for your event at least two weeks in advance
- Show up for the MAC meeting and be ready to answer any questions the MAC members might have. At the meeting you will be informed if you got the money or not NUGSS will fund clubs on the event per event basis which means you will have to apply for funding for every event separately. NUGSS will fund only 75% of the total cost.

NUGSS Policy Pertaining to Clubs
Introduction
Owing to the numerous group activities students wish to partake in, the Student Society allows for the organization and coordination of student sport and interest clubs and groups. It is the intent of this policy to regulate the requirements that a club must complete prior to formal recognition by the NUGSS Board of Directors. It is also the intent of this policy to provide guidelines for recognized sports and clubs in terms of maintenance and fund raising, among others.

Frequently asked questions about clubs at UNBC
What movies are legal to show at UNBC?
If you want to show a movie for UNBC students, then go on www.criterionpic.com and check if your movie is on the list of movies you are allowed to show. If yes, then go ahead; if not, then what you are doing is not legal and NUGSS is not going to be responsible for this.
How do I book tables and rooms?
If you have something that you are doing as a club and you need a room or a table on campus, then come to the NUGSS office and pick up the form for tables and rooms booking. The Staff will stamp your form and then you need to fill it out and take it to the Facilities. Facilities will book your table. Tables cannot be booked for personal use or for someone else.
What is club hearing session?
Club hearing session is a short session with the Director of Internal Affairs in order to decide if the individuals starting the club have a goal and a purpose to the club. It also makes sure the clubs started in the previous years are still active and have enough members. You must be ready to answer any questions that the Director of Internal Affairs might have about your club.
What is the Monetary Affairs Commission?
In short MAC is a body that allocates the Student Society money to the clubs and individuals in the form of Student Venture Grants. Members of the MAC are:
- The VP Finance, who is a chair(voting)
- The VP Student Affairs(voting)
- One other member of the NUGSS Board of Directors(voting)
- Three members of the general population(voting)
- The President(non-voting)
